Privacy Policy

This Privacy Policy explains how PMF Consulting ("we," "us," or "our") collects, uses, shares, and protects personal data in connection with Soundcheck, accessible at https://runsoundcheck.com (the "Service"). This Policy is issued in compliance with the Information Technology Act, 2000, the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, and the Digital Personal Data Protection Act, 2023 ("DPDP Act").

By using the Service, you consent to the data practices described here.

1. Who We Are

PMF Consulting is a partnership firm registered in India. We operate Soundcheck as a trading name. Our registered address is:

2. Data We Collect

The Service collects two distinct categories of data, which we treat differently.

2.1 Data about you (the user)

  • Email address. Required if you create an account. Used to send sign-in magic links and account-related notifications.
  • Browser cookies. A randomly generated identifier (stalkr_anonymous_id) is set in your browser on first visit. It is used for tracking free-tier usage (3 briefs total) per browser and migrating those briefs to a signed-in account if you sign in. If you sign in, a session cookie (session_id) is also set to keep you signed in. Both cookies are essential to the operation of the Service; they are not used for tracking across other websites.
  • IP address. Recorded transiently for rate limiting (to prevent abuse) and security purposes. Not stored beyond the rate-limit window (currently 60 seconds for the rate-limit counter).
  • Billing information. If you subscribe to the paid tier, our payment processor Razorpay collects and processes your billing information. We receive only a customer ID and subscription status; we do not store your card number, CVV, or full payment details.
  • Usage data. We log brief generation events (count, timestamp, success/failure) for operational and billing purposes. We do not log the content of the briefs themselves in our application logs.

2.2 Data about subjects of briefs

When you submit a name, optional company, optional context, and optional LinkedIn screenshots to generate a brief, you are providing data about a third party (the subject of the brief). This data is processed as follows:

  • Names, companies, and context. Transmitted to our AI provider (Anthropic) along with our system prompt to generate the brief. The name and the brief output are stored in our database so that you can return to view the brief later.
  • LinkedIn screenshots. Transmitted to Anthropic as part of the brief generation request. We do not retain copies of screenshots after the brief is generated; they exist only as in-memory data during the request.
  • Web search results. Anthropic performs web searches using the name and context to find publicly available information. We do not store the raw search results; only the final brief is retained.

We do not actively seek out or process any "sensitive personal data" as defined under Indian law (financial information, health, sexual orientation, biometrics, etc.). If you provide such data in the input, you do so at your own risk.

3. How We Use Your Data

We use the data described above to:

  • Generate briefs for you.
  • Operate, maintain, secure, and improve the Service.
  • Authenticate your account and keep you signed in.
  • Enforce free-tier limits and prevent abuse.
  • Process payments and manage subscriptions.
  • Send transactional emails (magic links, billing receipts, account notifications).
  • Respond to inquiries and provide customer support.
  • Comply with legal obligations.

We do not use your data to train AI models. We do not sell your data to anyone. We do not show ads. We do not share your data with marketers or data brokers.

4. Third Parties We Share Data With

The Service depends on the following third-party providers. Each receives only the data necessary to perform its function.

Each provider is bound by its own privacy policy and applicable data protection law. We have selected providers with strong privacy practices, but we are not responsible for their independent acts or omissions beyond the contractual obligations they owe us.

A note on Anthropic specifically

Soundcheck uses Anthropic's Claude API. Under Anthropic's commercial API terms in effect as of this Policy's date, inputs sent through the API are retained for up to 7 days for safety and abuse detection, and are not used to train Anthropic's models. If Anthropic changes these terms in a material way, we will update this Policy.

5. Cross-Border Data Transfer

Because most of our service providers are based in the United States, your data is transferred from India to the United States (and possibly other countries where our providers operate) when you use the Service.

The DPDP Act permits cross-border transfer to countries not on a restricted list (no list has been published by the Indian government as of this Policy's date). By using the Service, you consent to this transfer.

We rely on the contractual data protection terms offered by each provider as the safeguard for cross-border transfer.

6. How Long We Keep Your Data

  • Briefs. Retained until you delete them or your account is deleted, whichever comes first. Anonymous briefs (generated without an account) are retained indefinitely tied to the browser cookie that created them; clearing the cookie will not delete them from our database but will sever the link to your browser.
  • Email address. Retained while your account is active and for up to 90 days after account closure to handle billing reconciliation and dispute resolution.
  • Magic link tokens. Single-use, expire 15 minutes after creation, deleted after use.
  • Sessions. Expire 30 days after creation. Logging out immediately invalidates the session.
  • Rate-limit counters. Expire 60 seconds after the request that created them.
  • Billing records. Retained for 8 years to comply with Indian tax and accounting law.
  • Logs. Application logs are retained for 30 days for debugging and security purposes.

7. Your Rights

Under the DPDP Act and applicable Indian law, you have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate or incomplete data.
  • Erase your data (subject to legal retention obligations like the billing records above).
  • Withdraw consent for processing (which will end your access to the Service).
  • Nominate another person to exercise these rights in the event of your death or incapacity.
  • Grievance redressal for any concern about how we handle your data.

To exercise any of these rights, email hello@runsoundcheck.com. We will respond within 7 days. Erasure requests will be honored within 7 days unless retention is required by law (in which case we will explain).

Users in other jurisdictions (such as the European Union or California) may have additional rights under their local law. We will honor reasonable requests from users in any jurisdiction to the extent practical.

8. Grievance Officer

Grievances will be acknowledged within 24 hours and resolved within 30 days from receipt.

9. Security

We implement reasonable technical and organizational measures to protect your data, including encryption in transit (HTTPS), encryption at rest for our database, single-use magic links for authentication, and rate limiting to prevent automated abuse.

No system is completely secure. If we become aware of a personal data breach that is likely to result in significant harm to you, we will notify you and the Data Protection Board of India in accordance with the DPDP Act, which currently requires notification within 72 hours of awareness.

10. Children

The Service is not intended for users under 18. We do not knowingly collect data from anyone under 18. If you become aware that a minor has used the Service, please contact us and we will delete the data.

11. Subjects of Briefs

The Service processes information about people other than its users. This information is drawn from publicly available sources (web search results, user-uploaded LinkedIn screenshots) and used to produce a brief about the subject for the user's pre-meeting preparation.

If you are the subject of a brief and wish to:

  • Request information about whether a brief has been generated about you,
  • Request deletion of briefs about you, or
  • Object to your information being used in brief generation,

contact us at hello@runsoundcheck.com. We will respond within 7 days. Note that briefs are generated on demand and we do not maintain a profile or dossier on any individual; we maintain only the briefs that users have explicitly requested.

12. Cookies

We use only first-party, functional cookies necessary for the Service to operate:

  • stalkr_anonymous_id: UUID set on first visit to track free-tier usage by browser. Persists across sessions until cookies are cleared.
  • session_id: Authentication session identifier, set when you sign in. Expires after 30 days or on logout.
  • stalkr_just_logged_in: Short-lived flag to display a welcome banner after sign-in. Self-expires after first page load.

We do not use third-party tracking cookies, advertising cookies, or analytics cookies as of this Policy's date.

13. Changes to This Policy

We may update this Policy from time to time. The "Last Updated" date at the top will reflect the latest revision. Material changes will be communicated to active users by email at least 14 days before taking effect. Continued use of the Service after changes take effect constitutes acceptance.
